Responsibilities

As the Administrative Assistant, you will ensure smooth office operations and support our agents.

Client Support

  • Assist with administrative tasks for client files.

  • Schedule appointments and manage calendars.

  • Respond to client inquiries promptly and professionally.

Administrative Tasks

  • Maintain accurate and confidential client records.

  • Prepare financial documents (e.g., applications, transfers, compliance forms).

  • Track deadlines and follow-ups.

  • Create and update presentations and templates.

  • Send internal communications.

Data Management and Reporting

  • Update CRM and financial planning tools.

  • Generate reports for client meetings.

  • Manage lead generation and tracking.

Office Management

  • Oversee office supplies and coordinate with vendors.

  • Organize team events and training sessions.

Qualifications:

Required Skills and Experience:

  • Proven experience in an administrative or client service role

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Canva).

  • Experience using CRM

  • Strong organizational and time-management skills.

  • Good communication skills, both written and verbal.

  • Ability to multitask and prioritize in a fast-paced environment.
