As the Administrative Assistant, you will ensure smooth office operations and support our agents.
Client Support
Assist with administrative tasks for client files.
Schedule appointments and manage calendars.
Respond to client inquiries promptly and professionally.
Administrative Tasks
Maintain accurate and confidential client records.
Prepare financial documents (e.g., applications, transfers, compliance forms).
Track deadlines and follow-ups.
Create and update presentations and templates.
Send internal communications.
Data Management and Reporting
Update CRM and financial planning tools.
Generate reports for client meetings.
Manage lead generation and tracking.
Office Management
Oversee office supplies and coordinate with vendors.
Organize team events and training sessions.
Proven experience in an administrative or client service role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Canva).
Experience using CRM
Strong organizational and time-management skills.
Good communication skills, both written and verbal.
Ability to multitask and prioritize in a fast-paced environment.
Detail-oriented with a high level of accuracy.
Professional demeanor and a client-focused attitude.
Self-motivated, with the ability to work both independently and as part of a team.
